    Hi all!

    I'm working through updating our handbooks and fixing some holes in our program, and there's a lot changing at once. I've been notifying people via email on these changes (not too frequent, monthly to bimonthly at most!) and I just realized a good quarter of my volunteer base opted out of receiving emails. This means they're missing programming updates and safety information, and we have a whole section of folks using outdated handling techniques. Our program  has about 250 volunteers, so I can't contact them all individually for every change.

    Have y'all had success with requiring your volunteers to opt in to emails? Is that a totally unreasonable thing to do? How do you get information to people if NOT through required email? 

    I'm pretty new to this field so I just want to know what's standard!

    I highly recommend you consider implementing a texting program to stay in touch with volunteers. Texts are routinely read over 90% of the time and are incredibly low cost for the return on investment. In my experience, this company worked well, but there are certainly others to consider: Text Message Marketing Platform & SMS Service | SimpleTexting
    This offers a quick, easy and affordable way to get information to volunteers, especially of an urgent nature (we have bottle babies that need help, our gala this weekend could surely use a few more hands, etc.). You might consider a pilot to see if the volunteers would find this more beneficial.

    That's a great recommendation, thank you! I'll definitely reach out to finance about possibly adding some texting software. 

    Have you just moved away from emailing overall, or do you find there's ever a place for it?

    There is absolutely a place for email, but those who elect to opt out, they may like the texting solution in lieu of email, thus you aren't missing anyone.

    Hi Gina - about the texting. Not sure how that service you mentioned works but as a coordinator I do often stay in touch with my fosters through texting. The slippery slope there for us is that I'll use it, say when they pick up a dog and then they'll continue when the foster dog is in their care.  When I get emails from foster parents I'm able to search in my computer for whatever the topic of the email is...if the dog is getting a dental, discussing bloodwork, adoption prospects, etc. When they text me it's extremely hard to go back in and find the info. I find myself scrolling endlessly so it makes things much harder for us coordinators. And I'm juggling a lot of fosters.  But maybe some systems are searchable.  Thanks!

    Below is what we have in our volunteer handbook at San Diego Humane Society about emails. While we require it, we don't do any policing unless there is an issue caused by not being up to date.

    Due to the large size of our volunteer program, we utilize email for most communications.  It is expected that all emails from the Volunteer Engagement team or your Staff Partner will be read prior to their next shift.  Please add volunteercenter@sdhumane.org and the email address of your direct Volunteer Experience Supervisors or Staff Partners to your email contact list to ensure important communications do not end up in your spam folder. <u1:p class="ContentPasted0"></u1:p>

    Staff at San Diego Humane Society will typically reply to your emails within 48 hours (unless out of the office) and we ask that volunteers reply to any emails with a call to action within that same 48 hour period, unless otherwise noted. <u1:p class="ContentPasted0"></u1:p>

    Emails sent to multiple volunteers are sent blind copy to protect the privacy of your email address.  If you choose to "opt out" of electronic communication, we will be notified and will be in touch to discuss the importance of receiving our communication pieces.  <u1:p class="ContentPasted0"></u1:p>

    Volunteers also receive emails from the Communications and Philanthropy departments with information on campaigns, events and more!<u1:p class="ContentPasted0"></u1:p>

    Hi Autumn,

    I hope I'm not overreaching with this response, but it sounds like some of your volunteers have decided the emails aren't worth their time. If you can, I would look at those who have opted out and ask some of them (in person) why they did so and what could be changed to fix the issue. For example, maybe they don't like all the fundraising emails, or instructions ramble. Although you'll never please everyone, if you do things well you might see improved satisfaction and engagement.
