    How are you valuing pet food donations for your fundraising records?  Per pound, per bag, etc -- and how much per unit?

    I value per bag at the local retail price.  The feed donated for my organization is horse feed, Purina Senior, but I would think this method of valuation would apply for dog/cat feed as well.

    Are you asking so you can include a value on a donation receipt? If so, unless they include a purchase receipt, you should not assign monetary value to in kind items- you would include the description of the donated items- 6- 12 oz cans of esbilac formula, 3 -4lb bags of pedigree dry adult dog food. It is their job to determine value with their accountant.

    No.  I was asking to determine a value to use on our financials.   I was told that I need to document all in-kind pet food contributions to ascertain a value for our financials.  I also double-checked this with another large pet food pantry in another state who confirmed that.  It is my understanding from our accountant that you must document in-kind contributions on your financials

    This is very difficult to determine without a lot of staff time. We were able to shorten by using the following calculation - We give a guesstimate at year end. We total the number of dogs that we had in the shelter X the avg length of stay X the average feeding size (1.5 cups/2 cups).  We use the calculation of 4 cups of dry food = 1 pound. Then we price out an average price of a 40- or 50-pound bag (Purina as that is what we generally feed)- and calculate.  Example: 1,000 dogs in the shelter throughout the year X 10 days (avg. length of stay) X 4 (2 cups X 2 times a day) = 40,000 lbs. Then take the price per pound of your dog food - ex $50.00 for 30 lbs. = $1.67 price per pound - 1.67 X 40,000 = $66,800 - which we would put as in-kind donation on income and food cost in expense on our P & L.  Yes, there will be smaller dogs and larger dogs - some with 1 feeding a day, some with 3 a day - but we took what was typical for most dogs (and cats) at our shelter as our calculation point.  However, if you buy, say half of your food, your purchase is already recorded as an expense. In this example you would adjust the in-kind amount by half.  Hope this helps a little.

    We have recently changed this process because it was causing far too much difficulty for our very small team of 5 volunteers. Food had such varying values that it was taking a lot of time to cost and report it. Some people would receive food and not report it on the financial report as it took them too long to work it out. We are trialling this for the first half of 2024 for cases where we do not need to receipt a full value; so far it is working well:

    1€ per bag of dry food, any size
    1 € for 10 sachets / small cans / bags of treats
    1 € for 5 large cans (400g)
    0.50€ for smaller amounts of food
    1€ per other item (carrier box, litter tray)
    1€ per toy pack
    1€ for each type of medicine, no matter the number of pills/volume of liquid/number of tubes.

    Thank you for that information.  It is definitely a very time-consuming process.  We are just two volunteers (founders) running the entire organization right now and I am the only person handling this task so I truly understand.  A very kind individual on this list discussion provided a sample template that he uses to create an average for food/etc. and I'm using an average now for everything - similar to what you describe.

    It's amazing to consider how much "value" the pet food donations are for in-kind donations.  We've only been in business for 3 months now and have had more in-kind donations of pet food than we have had monetary donations.
