Howdy everyone, and happy Wednesday!
I'm here to ask what technology stacks other high volume, spay-neuter clinics are using in their day to day? I've recently onboarded as a volunteer (and hopeful eventual staff member), and have been assisting the director with untangling previous technology investments, infrastructure, and general technical and documentation debt that accrued under the previous director's leadership. My director is not technically savvy (love her to bits though and I'm an IT professional at my current job!) so I've been providing thourough write-ups on what technology I'm finding that they have signed up for already, the state that it is in, what I can do with it that is immediately helpful and how long-lasting it might be, and alternative (and lower cost!) solutions if any are found.
While I would love to hear what others are using (like ClinicHQ!), I'm also wondering if anyone's encountered this before, and how they went about straightening it out:
Today/This week's puzzle is this, for example:
I went to sign them up for Google for Nonprofits, only to find that they already have a [clinic branding].org Google Workspace... which no one currently on staff knew about as they are still using unmanaged, DIY-made email handles for the clinic. After some digging, I find that the previous technically inclined volunteer set them up with SquareSpace, and it came with a 'complimentary' Google Workspace... for Small Businesses. :|
I advised my director of this, and am currently working through launching a support ticket with Google Workspace to see if we can get the Workspace converted from a Small Business structure to a NonProfit one before I start documenting and building infrastructure in it (it is a completely blank slate!). I'm wondering if there's a faster way to complete this than launching a ticket with Google.
In that same vein, I'm trying to discern if SquareSpace has 501c3 specific pricing, and I'm failing to find any information available online. The primary attributes of squarespace that my director and her teams are attached to are the mobile POSs, low fee structure, and ability to text/email/print receipts. They're not married to it though, and are willing to consider alternative options if the quality of the software is similar and it is in someway better (either on cost, managing, etc.).
So... hit me with your software recommendations, troubleshooting recommendations, etc pretty pretty please! We already use ClinicHQ, although my director is curious about ShelterLuv, but with us only being a clinic and not a rescue, I'm unsure that it's worth it at this moment in time to consider that route.
I do think switching to ShelterLuv could cut down on physical paperwork needed for our animal rescue clients, I believe all of whom do use ShelterLuv (transfer in, do surgery and document what was done, transfer back to rescue at pickup... potentially) and if our local animal control department does eventually get a budget to pay for community cat management via TNVR, it would be nice to have ShelterLuv's ability to look up cats to see if/when they've been seen and when their rabies vaccines expire and whatnot for population data tracking...
Please absolutely firehose me with recommendations, experiences, etc! I come from a corporate IT/IT Infrastructure background so I'm not afraid to get out into the weeds a bit. :)
