Have you ever thought of going digital? I had seen, I think somewhere in the Maddie's Fund content, an article about Austin Pets Alive using a Trello board. I had created one similar to that for managing foster dog information for the rescue I volunteered with. Depending on what you are tracking, it can integrate into things like Google calendar, Slack, and other digital tools and I believe you can also generate reports out of Trello. It's free to sign up and I LOVE that the user interface is the same across different platforms (iPhone, web/online, iPad, desktop, etc.)
It could allow users to add commentary as well to facilitate information sharing and communication between volunteers and staff.
It may overcomplicate a simple analog tool like a whiteboard, but just making the suggestion. I'd be happy to share how I set up the board for the rescue if you want to know more.

We are revamping the whiteboards we have set up in our kennel area for tracking our dog's locations, basic info, and volunteer activities/enrichment with each dog.
