    Hello there, 

    I work at the Animal Rescue League of Iowa and we have a Pet Food Pantry that we are restructuring. We are struggling with finding the best method for tracking the data (patron's contact/demographic information, pet's information (breed, sex, weight, spay/neuter status, age), and the food provided to each household. 

    We have tried an Excel sheet, paper forms, and most recently, an online Typeform. However, it is becoming very difficult to track all of this during the pantry with the immense amount of people and pets that we are seeing. We are finding ourselves scrambling at the end of every pantry to make sure all of the data is accurate - especially when we run out of dog food, cat food, or litter. 

    Does anyone have a system that works for their Pet Food Pantry? We would be beyond grateful for any advice!

    Hi! What shelter management software are you using? We use shelterluv and are tracking our community pet  food pantry through shelterluv transactions. I would be happy to tell you more about that if your organization is also using Shelterluv!

    We keep track of our pantry visitors through Petpoint under Care Activity. We also use a paper and pen registrations form for the client to fill out and then we enter the data into PetPoint. This provides us the ability to generate reporting on our community care activities.

    Jennifer, We use PetPoint (PP) and its Care activity as well, but struggle with some limitations. The basic issue is that we track what animals a person has over time and the amount of food of what general type was dispensed each visit. PP treats a Care activity as belonging to an Animal, but Food Dispensed activities are associated with a Person (we don't try to track that a certain amount of food was dispensed per animal, just how much total was given that day). There is no obvious, clear way to record food type and quantity in the fields available for a Care activity - how do you record this?  We also don't know of any convenient report or export to spreadsheet that shows food given over time (there are some fairly manual ways of getting several "extended" reports and using Excel to link them) - what do you use? That is why I am working on a Microsoft Access database application that will hopefully simplify this. Thanks!

    Good point Peter, we don't track those data points, but rather people served. It sure would be helpful to have those added. I am sure we can make the recommendation to petpoint!

    I do it "old school".  Data is collected data manually using pen and and paper on a printed form.  I enter to a spreadsheet monthly to analyze and create graphs. We collect date, zip code, # dogs, # cats, amount dog food distributed, amount cat food distributed.

    Lisa Thanks for the info! Would you mind sharing a copy of a blank paper form, and what the structure of the spreadsheet is, such as to show whether you record outgoing food by person by day, or just by day? One of the complexities at our shelter is they want to track by person by day and limit the amount dispensed based on how many dogs of what weight, how many cats, how many cats in outdoor cat colonies. We want to show to the volunteers who dole out the food what was dispensed and when to the specific person when they come in for food, so they can verify it wasn't too recently. They also want to know what animals each person had over time so they can see who might be hoarding or breeding. That'll be based on using the history of animals they have ever had - when someone uses the app I'm working on to remove an animal (the person no longer listed it on their new request form) it doesn't delete the animal from the database, it just marks it as "removed" by saving a "removed on" date. - so reports I'll develop (or spreadsheets based on exported data) can figure out how many animals were owned at points in time.

    Not sure if you figured something out already, but this is something I did at a previous org using Airtable. I was able to build out the backend, but present it in a "dashboard" style so not everyone has access to the raw data. You can also create another dashboard strictly for data for reporting purposes.

    I'm working on an application based on Microsoft Access. Not the most elegant or modern solution but it has the advantage that it's fairly easy to give to anyone (who runs Windows) and there are no license costs. Plus it can store the data in a local database or it can be configured to use SQL Server and the raw data is accessible to be used in any tool.

    How did your Airtable app work out? Is there any way to see how it works, and is it feasible for other shelters to use it?
