Data collection for pet food outreach is a project I am just starting. We are working with low-income towers to bring the food to them. I currently have an intake form for the first time a person visits, to collect their basic information and the information about their pets. That information goes into a spreadsheet that is broken down by location (Tower A, Tower B). The idea is that we will track how much and what type of food is given to the person at each event. I hope this will help us stay consistent with the brands and types of food we give each month to reduce stomach upset in pets. If more are interested, I would be happy to set up a work group to bring people together on a Zoom call to share our spreadsheets and learn from other organizations how they track. It would be more of a working meeting rather than a webinar.

We currently use an Excel spreadsheet, and I have the template set to autofill totals each month for:
- dry dog food,
- cans of wet dog food,
- dry cat food,
- cans of wet cat food
- # of dogs and # of cats
- We also track # of puppies and kittens in addition to adult animals (counting anyone under 6months as puppy or kitten)
It works well for that purpose of getting totals, but it would be nice to also have an easy way to track "repeat customers" and their needs (i.e. does someone come every month and continue having new puppies every few months? Do they need other help besides food (such as spay/neuter) that we should reach out to them about?)

We're looking to revamp how we track food distributed through our pet food pantry and would love to hear what's working for other shelters.
Are you using spreadsheets, shelter software, paper logs, or a hybrid system? Have you found any tools or processes that are especially efficient for front desk or volunteer staff? Any lessons learned or things you'd do differently if you were starting over?
