    We have three key players in the rescue.   Most of our time is spent in the field trying to keep up with the abused and abandoned dogs/puppies running our county streets.   Spay and neutered dogs are slim to none in our area.   Abandoned puppies everywhere.  It's hard for us to keep up with paperwork let alone have time to input these rescues into a computer.  Suggestions??  There are only so many hours in a day.   I'd loveto have easier but wonder if it really is.

    I would love to learn more about your current paper data tracking process! What does your current process look like?

    I wonder if an image to text scanner or a PDF to text app could be helpful here?

    We have I take sheets on every dog with shot records documented along with all other important information.   Once a dog gets adopted it goes i to an adoption file, transported to another rescue goes into transfer file and dogs still on property stay active.   Then we just tally monthly in each file.  Dogs in foster stay in a foster file u til they get adopted or transferred.   Time consuming but working on excel sheet possibly to make the tally process quicker.  A volunteer to do date entry would be beneficial as well.    I'd love to hear what others use to maintain records and data that is easy!

    First, thank you to you and your team for all the work you do for those dogs in your area! 


    Secondly, I'm sorry to hear about your struggles and know that being in this industry can be overwhelming sometimes, especially when it comes to all the paperwork and data.     When I first started I would enter paperwork when it was my turn to watch the front desk (it was just two of us in a one room building). Usually if I started paperwork first thing I could get most of it done before things got crazy! It sounds like you're mostly in the field but if you're ever covering a desk that can be good time to work on this stuff.  I was a volunteer at the time, so I would take the basic info that the ACO had filled out, get it in the computer, then ask them about any missing info when they had a free second. 

    A few years ago, our animal control started taking laptops into the field so they could get the basic info for the animal entered while they were still on scene. That way we knew the animal existed, then someone could add notes and update the animal's details later at the office.

    Hi Laura!

    I'm so sorry to hear about your struggles, and they are very much shared. I don't know how much you've been able to make virtual, but putting things like applications to surrender online could help lift some of the burden. The owner or finder could input all the answers to your questions themselves, and the form could be attached to a pet's profile instead of having to be manually entered.  If you have a computer or tablet on site that you could use, you could likewise ask owners or finders to fill out the form right when they come in. Are you able to recruit more volunteers to help with data entry, or make this on-site opportunity available to your foster volunteers?

    First off, thank you for the tremendous work you are doing. I know it may be hard to find the time to track your data, but it is so important for a variety of reasons, especially if you attempt to apply for grants. I have no affiliation with this company, but I believe what they offer might be good for your organization. Their software is easy to use, affordable and seems to lend itself particularly well to rescues.

    I work for Pets for Life and manage our program database and it's been a challenge over the years to get people to enter their data. Almost nobody likes doing data entry and people often feel like it takes away from doing the "real" work of helping animals. 

    But the truth is that data is vital and it's just as important as being out in the field!  Animal welfare cannot function or improve without data. We can't be effective and help the most pets possible without it. Plus, most donors will not give money without data to show the work you've been doing, and they require regular data reports to see where their money is going and whether people use it the way they say they will. Donors and supporters want to know how many pets were helped, how people were served, how many surgeries were done, how many supplies were given out, etc.

    Yes, there are only so many hours in the day! Data and record keeping are important enough that you'll need to prioritize them. If you normally stop working at 6pm, stop working at 5pm and focus the last hour on data entry. Or do it first thing in the morning and start the rest of your work an hour later than normal. Think long term: this may mean you help 14 pets this week instead of 15, but it will help you help more pets in the future and more pets over the long term.

    And not only can you can use your data to attract more donors and volunteers, with the right programs you can streamline your work and actually make it easier for yourselves. It can help you be more organized, find information quickly, manage follow ups and appointments, all of which save you time and let you help more pets!

    My rescue is small and also focused on fieldwork- we TNVR cats and then bring in friendlies and injured and kittens. I am person #3 and have taken a step back from fieldwork and trapping to focus more on the paperwork side of things. I have excel sheets that track intakes and outcomes, I handle all the adoption applications and responding back and forth with adopters, and I handle all the grants and fundraisers. I help with transporting cats to vet appointments and do socialize 1 day a week but my main focus is administrative. Could you shift roles around to do something similar?
