    We're a medium-small organization  started in 1970 that has completed it's annual budget process - so the experience is still very fresh in my mind. 

    Thought the budget structure was very complete and had no recommended additions. Thought the excel implementation is optimum for now - easy to use, amend & subsequently port into a professional system, like QuickBooks later on.

    The first budget is difficult - build a strawman budget then use to consult with others in your position. Subsequent budgets will be guided by historical data so record well & keep copies of all input - you'll be going back to them forever. I've wanted to view receipts, etc from over 20 years ago.

    Maybe 1st thing to expend for is a computer, mountable disk drive for backup/archive , & scanner - all on the inexpensive side.

    Hi Sandra

    Do you have cost centres already set up so you know what you spent in each category last year? And a workplan or idea what you will need in the next financial year?

    Our treasurer built a simple excel, basically we worked out what cost centres we wanted (vet, food, marketing/fundraising, supplies/equipment, accountant, etc), then looked at what we spent under those categories in more detail. Then to budget, we look at what we need - so food we raised 14% for 2025, supplies we raised 64% (as we know we need new cat traps), vet we increased by 25% (to fit our TNR increases on the workplan) marketing was doubled (because we have new items needing printing), etc.

    Hi Sandra (and anyone else starting fresh),

    We just built one we are happy to share. It is an Excel template put together for new and small rescues, and you can edit anything in the blue cells.

    Four tabs:

    • Annual Budget with revenue and four expense sections (Program, Operations, Fundraising, Administrative). Subtotals and percentages calculate automatically.
    • Monthly Cash Flow that spreads the year out and rolls beginning and ending cash month to month.
    • Actuals vs Budget tracker so you can see variance as the year goes on.
    • A Read Me tab with instructions and a color key.

    The cost centers follow what most rescues actually spend money on (vet care, spay/neuter, food, foster reimbursements, transport, crisis support, insurance, software, the usual). When you outgrow it, the categories port straight into QuickBooks without much rework.

    The advice already in this thread is solid. Build a strawman first, then refine. Keep every version. Your second budget will be ten times easier than your first because you will have real numbers to work from.
